A household tech handover binder for the one who runs it all

For developers, homelabbers and anyone who is the family's IT department: ten printable sheets so your partner can take over passwords, devices, backups and services.

  • Printable binder: cover plus 10 sheets as HTML (fill in on screen, save a filled copy) and ready-to-print PDFs for A4 and US Letter
  • Sheet 1 start-here page for the reader in a hurry, with do-first and please-do-not lists
  • Access map for the password manager, two-step login and recovery, written as locations never secrets
  • Sheet 10 reference: where to create recovery codes (Google, Apple, Microsoft, Bitwarden) and how to export (Google Takeout, iCloud, Home Assistant, Immich, Nextcloud, Synology), each linked to the vendor page and dated
  • Accounts, subscriptions and domains registers, also as CSV spreadsheets
  • Backups and photos sheet, and a keep-or-export-then-shut-down card for each self-hosted service
  • Quarterly review checklist with a change log, plain-text Markdown copy and licence note
  • A filled-in example (PDF and HTML): a fictional household's Start here sheet, Access map excerpt and two service cards

Excerpts from the binder, and from the filled-in example that comes with it

Sheet 1, Start here (from handover-binder.html).

If you are reading this because I am not available, take a breath. Nothing here is urgent in the first hours except the first four items. Everything else can wait for days or weeks. You do not have to understand the technology to follow this.

  • Look at Money and renewals (Sheet 4) before you cancel any subscription. Before you cancel the phone line, read the list of logins tied to the phone number on the Access map (Sheet 2).

Sheet 7, one service card (from example-filled-binder.pdf, a fictional household)

Name and what it is
Photos server (a small photo-library app)
What it does for the family
Keeps every photo since 2014 and syncs from both phones
Where it runs (which box, which room, or which hosting account)
The grey box in the hall cupboard
What stops working if it is switched off
Photo backup from the phones; the photos on the box stay safe
How to export the data (steps, or where the notes are)
Plug in the blue drive and run the copy script in the Backups sheet
Monthly cost, if any, and who is billed
Nothing monthly

Decision: Export the data, then shut down

Made for

Who it's for

Developers and sysadmins who are the household's IT departmentHomelabbers and self-hosters whose family now depends on the setupAnyone who has said 'I should write that down' about passwords and backupsCouples and families who want a calm, non-technical takeover plan

Written for the person taking over

Plain steps and a clear list of what not to do first, so a non-technical partner can act without guessing.

Covers what the vendor features skip

Bitwarden, Google and Apple each cover one slice. This adds devices, backups, renewals, self-hosted services, and a dated reference for recovery codes and exports.

Locations, never secrets

The binder asks where things are kept and tells you not to write passwords or recovery codes in it.

Stays current

A quarterly review and change log keep it from going stale after the first afternoon.

Questions

Good to know

Is this a will or legal advice?

No. It is a practical planning aid for household technology. It does not replace a will, power of attorney or advice from a qualified professional in your area.

Does it store my passwords?

No, and it tells you not to write any in it. It records where things are kept. The page does not send anything you type anywhere. Print it, or use the Save a filled copy button to download a copy to your own computer (it stays on your device) and edit that copy at your quarterly review.

I already use Bitwarden Emergency Access or Apple Legacy Contact. Do I need this?

Those cover one account type each. Apple's Legacy Contact, for example, cannot reach iCloud Keychain passwords or passkeys. This binder covers the rest: devices, two-step recovery, renewals, backups and self-hosted services, and it tells your partner what to do.

What format are the files?

A single HTML file that opens in any browser and can be filled in on screen, print-ready PDFs for A4 and US Letter, a filled-in example (PDF and HTML), a Markdown copy, and three CSV spreadsheets.

Can I get a refund?

See the refund policy linked in the footer. Refunds and support are handled by [email protected].

What if it doesn't work for me?

If it doesn't work as described or you can't access it, email us within 14 days and we'll fix it or refund you. See the refund policy for details.
