How to organize a DM binder so you never insert a page
A paper game master's binder fails the same way every time: pages go in as you write them, then you cannot find anything, and sorting it alphabetically means re-filing every sheet whenever something new turns up. This guide describes a filing rule that avoids all of that, and gives you five free sample sheets and a free index maker to try it.
The rule: append, never insert
Number every sheet on the day you first use it: the next free number, written in a corner of the page. File it at the back of the tab (section) it belongs to and never re-sort. The alphabet does not live in the binder at all. It lives in an index at the front: one line per sheet, filed under the first letter of its name, with the sheet's tab and number beside it. A register in number order records the same tab for every number. To find "Cinder Blade", look under C, read "Stuff, 5", open the Stuff tab and turn to the sheet with 5 in its corner.
This answers a question that comes up whenever someone plans a paper binder. One DM on r/DMAcademy asked what to do if you are organizing homebrew items alphabetically and need to insert an item between two other items. You do not. A new item is the next number, plus one new line in the index.
A worked example
| No. | Kind | Name | Tab | Index line (entry, tab, number) |
|---|---|---|---|---|
| 1 | Campaign overview | Ashfall | Campaign | A: Ashfall, Campaign 1 |
| 2 | NPC | Maro Tell | People | M: Maro Tell, People 2 |
| 3 | Region | Dunmere | Places | D: Dunmere, Places 3 |
| 4 | NPC | Ilse Varn | People | I: Ilse Varn, People 4 |
| 5 | Homebrew item | Cinder Blade | Stuff | C: Cinder Blade, Stuff 5 |
The same five entries, typed into the free index maker, print as an A to Z list: Ashfall (Campaign) 1, Cinder Blade (Stuff) 5, Dunmere (Places) 3, Ilse Varn (People) 4, Maro Tell (People) 2. Add "Brannock Hall", a Places sheet, and it becomes No. 6, with one new line under B. Nothing moves.
What to put behind which tab
Eight sections cover most tables: Start (the rule, the index, the register), Session (prep, log, recap), Campaign (overview, timeline, clocks), Places (region, settlement, site, journey), People (NPCs, factions), Table (initiative, encounters, resources), Stuff (shops, loot, homebrew entries, cards) and Reference (travel, weather, prices, calendar). Keep what you handle during play in Table, and keep everything you look up between sessions in the others.
Practical tips
- Use sheet protectors for the sheets you re-use. A large initiative sheet in a clear sleeve and a dry-erase marker serves every fight; one printed page replaces a stack.
- Leave the left margin clear. Pages with text near the edge lose words to the hole punch. Print at 100 percent and check one page before you print the rest.
- Prep in a fixed order and stop on a timer. Last time, a strong start, scenes, secrets and clues, names and sheet numbers, treasure. Prep that grows to fill the week is the usual complaint.
- Give a sheet a number only when it comes back. The tavern keeper met once can stay on a quick list; the one who returns gets a sheet.
- Write numbers in pencil or on a sticker if you expect to merge binders later.
